Position Purpose
The Assistant Project Manager helps make projects predictable. You are the person who keeps deliverables moving, decisions documented, consultants aligned, and issues surfaced early, before they become late surprises.
This is not a passive support role. You will be expected to think ahead, communicate clearly, and own follow-through on the details that protect schedule and client confidence.
What You'll Own
- Project coordination so deadlines don’t drift
- Scope, schedule, and submittal tracking (including follow up)
- Internal and external communication: clients, agencies, and consultants
- Issue management: identify risks early and drive closure
Key Responsibilities
Project Delivery and Coordination
- Build and maintain project schedules, milestones, and next actions.
- Coordinate internal production and consultant inputs to hit submittal and response deadlines.
- Keep decisions, assumptions, and action items clear so teams stay aligned.
- Run weekly check-ins and follow-ups that prevent last-minute chaos.
Permitting Support and Agency Interaction
- Support permitting strategy by keeping requirements, standards, and reviewer expectations organized.
- Prepare submittal packages and track agency comments through resolution.
- Ensure responses to review comments are complete, consistent, and turned quickly.
Quality and Accountability
- Use PDG checklists and standards to reduce rework and avoid preventable comments.
- Flag scope creep, missing inputs, and coordination gaps early.
- Communicate clearly with the PM and client when something threatens schedule or quality.
Growth and Leadership
- Develop judgment by learning why decisions matter, not just what gets produced.
- Earn more ownership over time: client communication, consultant management, and submittal leadership.

In the first 60–90 days

- Submittals go out complete and on time. Loose ends don’t linger.

- PMs rely on you to run day-to-day coordination with minimal oversight.
